How CallCoach AI Works

CallCoach AI answers the one question every sales leader argues about: when a deal dies, was it the rep or was it the lead? Upload the call, and in about a minute you get a graded scorecard, a definitive verdict, and a coaching plan — no listening to recordings, no reading transcripts.

From recording to verdict in three steps

No integrations to configure, no call recorder to switch to. If you can upload a file, you can start grading calls today.

1. Upload a call

Paste or upload a transcript from Zoom, Teams, Gong, or Chorus — or upload the raw audio recording and we'll transcribe it for you. Tag the call to the rep who ran it. That's the whole setup.

2. AI grades it like a sales manager

Our AI reads the entire call and scores the rep across five skills: Opening, Discovery, Pitch Clarity, Objection Handling, and Close. Separately — and this is the key — it judges the lead's quality on its own, so a weak prospect can never drag down a rep's grade, and a great rep can never make a dead lead look promising.

3. Get a scorecard and a verdict

In about a minute you get a 0–100 overall score, category-by-category grades, a clear verdict (rep issue, lead issue, or a mix of both), the rep's best moments quoted from the call, and a prioritized list of exactly what to fix before the next call.

1. The Call Scorecard

Every call graded like a veteran sales manager sat in on it.

A summary tells you what was said. A scorecard tells you what to do about it. Each call gets a 0–100 overall score built from five skill categories — Opening, Discovery, Pitch Clarity, Objection Handling, and Close — plus an independent Lead Quality grade, so you always know which side of the call to fix.

  • The Verdict: a clear ruling on whether the outcome came down to a 'Rep Issue', a 'Lead Issue', or a mix of both — no more debating it in pipeline review.
  • Category scores: 0–100 grades on each of the five skills, so you can see a rep who opens strong but folds at objections.
  • Best Moments: the rep's strongest plays, quoted word-for-word from the call — perfect for positive reinforcement in your next 1:1.
  • Actionable Improvements: a prioritized fix list with context on why each one matters, ready to hand to the rep as homework.
  • Talk Ratio: how much of the call the rep spent talking versus listening — a rep at 80% talk time isn't doing discovery, they're doing a monologue.

    Objection Handling

When the prospect raised budget concerns, the rep immediately offered a 20% discount instead of defending value or exploring the specific budget constraint.

2. Rep vs. Lead — Judged Separately

Why you can trust the verdict

Most AI call tools grade the whole call at once — so a charming rep on a hopeless lead still looks great, and a solid rep stuck with tire-kickers looks like they need coaching. CallCoach AI deliberately separates the two judgments.

The lead is judged on its own

A dedicated evaluation looks only at the prospect: do they fit, do they have a real need, do they hold the budget and authority, is there a timeline, are they actually intending to buy? The rep's performance is invisible to this grade — a great pitch can't inflate a dead lead.

The rep is graded against that reality

The rep's five skill scores are then judged with the lead's quality as fixed context. Losing a bad-fit lead isn't held against them; fumbling a qualified buyer is. The result: a verdict you can act on — coach the rep, or fix the pipeline feeding them.

3. Team Weekly Reports

Walk into Monday's pipeline review already knowing the answers.

Every call your team uploads rolls up into a weekly report that reads like a coaching brief, not a spreadsheet. It tells you which reps are trending up, which are slipping, and which mistakes are spreading across the team — before they cost you the quarter.

  • 16-week trendlines per rep, tracked against a 70% target baseline — spot a slide two weeks in, not at quarter end.
  • Systemic issue detection: when three reps make the same mistake, that's not a coaching problem, it's a training problem. The report calls it out.
  • Team verdict mix: the exact percentage of losses caused by lead quality versus rep execution — the number that settles the sales-vs-marketing argument.
  • Per-rep breakdowns with scores, talk ratios, and repeated issues, ready to open in your next 1:1.

Works with the calls you already have

CallCoach AI doesn't record your calls or plug into your phone system. You bring the call in whatever form you have it, and analysis starts immediately.

Bring your own transcripts

Already using Gong, Chorus, Zoom, or Teams? Paste or upload the text transcript exactly as it exports — no reformatting needed. Transcript uploads are included in your plan's call quota.

Raw Audio Add-on

No transcript? Upload the recording itself. We transcribe it with industry-leading speech AI, then run the same full analysis. You can set a monthly audio spending cap so there are never surprise charges.

4. Built for the Whole Team

One workspace. Every rep. No per-seat surprises.

Invite your managers and reps by email and everyone works from the same call library, dashboards, and reports. Team logins are free — you pay for calls analyzed, not for seats.

  • Email invites: teammates join with one click and land in your workspace automatically.
  • Admin and member roles: members upload calls and run reports; admins additionally control billing, team, and settings.
  • Rep profiles: every call is tagged to a rep, building a per-rep track record over time.
  • Usage controls: monthly caps and a live usage meter keep spending predictable.
